Position Overview

We are seeking a proactive and detail-oriented HR Assistant to support the day-to-day HR operations of the organization.

The successful candidate will assist with employee administration, recruitment coordination, HR records management, onboarding activities, and general HR support functions.

HR Administration

  • Prepare employee letters and HR-related documentation, including employment certificates, salary certificates, NOCs, and other official correspondence.
  • Prepare employment contracts, contract amendments, and service agreements for associates and consultants.
  • Maintain accurate employee records in both HRIS and physical personnel files.
  • Track employee leave balances, leave plans, and attendance records.
  • Monitor contract expiry dates, probation periods, visa renewals, and other employee-related deadlines.
  • Support the administration of employee medical insurance, including additions, deletions, and updates.
  • Coordinate employee access cards, ID cards, and related administrative requirements.

Recruitment & Onboarding

  • Coordinate interview schedules between candidates and hiring managers.
  • Communicate with candidates throughout the recruitment process.
  • Support the preparation and issuance of employment offers and onboarding documentation.
  • Coordinate onboarding activities for new employees, including induction schedules and document collection.
  • Assist with pre-employment requirements and employee onboarding checklists.

HR Systems & Reporting

  • Maintain and update employee information within the HRIS.
  • Generate HR reports and assist with data accuracy audits.
  • Support HR process improvements and HRIS-related administrative tasks.

Employee Engagement & Support

  • Assist in organizing employee engagement activities, events, and initiatives.
  • Support employee communications and internal HR announcements.
  • Respond to routine employee queries and provide administrative HR support.

Compliance & Documentation

  • Ensure employee records and HR documentation remain accurate, complete, and compliant.
  • Support document filing, archiving, and record retention processes.
  • Assist with HR audits and compliance-related requirements when needed.

Qualifications & Experience

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of experience in an HR Administration, HR Assistant, or similar role.
  • Experience working with HRIS systems and maintaining employee records.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills in English (Arabic is an advantage).
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Ability to handle confidential information with professionalism and discretion.
  • Familiarity with UAE Labour Law and HR administrative processes.
  • Immediate availability to join.
