Scope of work:

Reporting to - Managing Director

  • Manage the DMCC Portal
  • Schedule and manage CEO’s calendar and other tasks that might be assigned.
  • Process Visa, Trade License, Establishment Card, Company Registration/Amendments
  • Coordinate with the Building Management for all building permits i.e. delivery access, entry access, parking, office maintenance/repair, etc.
  • Oversee & direct liaison with the Landlord for lease renewals for Signature Technology Office.
  • Coordinate with Finance Department for the WPS registration and implementation
  • Supervise office supplies (pantry, office stationery, water etc.)
  • Work closely with management team re: staffing requirements, attendance etc.
  • Maintain leave management file and fixed asset inventory
  • Work with department heads in the conduct of periodic appraisals
  • Manage Attendance for Payroll and coordinate with Finance Department
  • Manage employee data and keep record
  • Ensure employees’ visas, medical insurance, passport, work permit (PIC) are renewed and up to date Onboarding and Offboarding of staff
  • Negotiate terms of employment: salary, leave. Other allowances etc.

Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational, multitasking, and time-management skills.
  • Strong verbal and written communication skills in English.
  • Ability to work independently and maintain confidentiality.
  • Experience liaising with government authorities, building management, landlords, and external service providers is an advantage.
  • Experience in job posting is an advantage.
  • Minimum 2 years of experience in Administration, HR, or Office Management within the UAE.
