Overview

We are seeking a professional and customer-focused Front Office Executive to manage front-desk operations, handle client inquiries, and support the sales and immigration teams.

The ideal candidate will be responsible for creating a positive first impression for clients, coordinating appointments, maintaining records, and ensuring smooth day-to-day office operations.

Key Responsibilities

  • Welcome and assist walk-in clients in a professional and friendly manner.
  • Handle incoming calls, emails, WhatsApp messages, and client inquiries.
  • Schedule and coordinate consultations and follow-up appointments.
  • Maintain accurate client records and update CRM systems regularly.
  • Explain company services and direct clients to the appropriate consultant.
  • Follow up with leads and existing clients regarding appointments and documentation.
  • Manage reception area and ensure a professional office environment.
  • Coordinate with sales consultants and immigration case processing teams.
  • Prepare daily, weekly, and monthly reports as required.
  • Handle administrative tasks including filing, document management, and data entry.
  • Support marketing and promotional activities conducted by the company.

Key Performance Indicators (KPIs)

  • Schedule and coordinate a minimum of **120 client meetings per month**.
  • Maintain high client satisfaction and professional service standards.
  • Ensure timely follow-up of all assigned leads and inquiries.
  • Maintain accurate and updated client records with minimal errors.
  • Achieve monthly appointment conversion and attendance targets set by management.

Requirements

  • Minimum 1 year of experience in front office, customer service, tele sales, or immigration consultancy.
  • Excellent communication skills in English, Hindi/Urdu
  • Strong interpersonal and customer service skills.
  • Proficiency in Microsoft Office and CRM software.
  • Ability to multitask and work in a fast-paced environment.
  • Professional appearance and positive attitude.
