We are seeking a professional and customer-focused Front Office Executive to manage front-desk operations, handle client inquiries, and support the sales and immigration teams.
The ideal candidate will be responsible for creating a positive first impression for clients, coordinating appointments, maintaining records, and ensuring smooth day-to-day office operations.
Key Responsibilities
- Welcome and assist walk-in clients in a professional and friendly manner.
- Handle incoming calls, emails, WhatsApp messages, and client inquiries.
- Schedule and coordinate consultations and follow-up appointments.
- Maintain accurate client records and update CRM systems regularly.
- Explain company services and direct clients to the appropriate consultant.
- Follow up with leads and existing clients regarding appointments and documentation.
- Manage reception area and ensure a professional office environment.
- Coordinate with sales consultants and immigration case processing teams.
- Prepare daily, weekly, and monthly reports as required.
- Handle administrative tasks including filing, document management, and data entry.
- Support marketing and promotional activities conducted by the company.
Key Performance Indicators (KPIs)
- Schedule and coordinate a minimum of **120 client meetings per month**.
- Maintain high client satisfaction and professional service standards.
- Ensure timely follow-up of all assigned leads and inquiries.
- Maintain accurate and updated client records with minimal errors.
- Achieve monthly appointment conversion and attendance targets set by management.
Requirements
- Minimum 1 year of experience in front office, customer service, tele sales, or immigration consultancy.
- Excellent communication skills in English, Hindi/Urdu
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office and CRM software.
- Ability to multitask and work in a fast-paced environment.
- Professional appearance and positive attitude.
