About MCM Conscious Mental Wellness

MCM Conscious Mental Wellness is a psychology and counseling center dedicated to providing high-quality mental health services in a compassionate and professional environment.

We are looking for a friendly, organized, and proactive Receptionist / Administrative Assistant to join our team.

Front Desk & Client Experience

  • Welcome clients and visitors in a warm and professional manner.
  • Answer incoming phone calls, WhatsApp messages, emails, and inquiries.
  • Schedule, confirm, reschedule, and cancel appointments.
  • Provide information regarding services, psychologists, pricing, and procedures.
  • Follow up with potential and existing clients when required.
  • Maintain a positive and professional first impression of the center.

Administrative Duties

  • Manage daily appointment schedules and calendars.
  • Maintain accurate client records and documentation.
  • Assist with registration forms and onboarding of new clients.
  • Organize and update files, spreadsheets, and internal documents.
  • Prepare reports and perform data entry as required.
  • Support psychologists and management with administrative tasks.

Payments & Operations

  • Process client payments and issue receipts.
  • Track payments and maintain accurate records.
  • Coordinate with the accounting team when required.
  • Assist with daily operational activities to ensure smooth clinic functioning.

Communication & Coordination

  • Coordinate with psychologists regarding schedules and appointments.
  • Respond to inquiries professionally and promptly.
  • Maintain confidentiality of all client information.
  • Communicate effectively with clients, colleagues, and external partners.

Requirements

  • Own valid UAE visa.
  • Previous experience in reception, administration, customer service, or a similar role is preferred.
  • Excellent communication skills in English.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
  • Comfortable using CRM systems and scheduling software.
  • Ability to work independently and as part of a team.
  • High level of confidentiality and professionalism.
