MCM Conscious Mental Wellness is a psychology and counseling center dedicated to providing high-quality mental health services in a compassionate and professional environment.
We are looking for a friendly, organized, and proactive Receptionist / Administrative Assistant to join our team.
Front Desk & Client Experience
- Welcome clients and visitors in a warm and professional manner.
- Answer incoming phone calls, WhatsApp messages, emails, and inquiries.
- Schedule, confirm, reschedule, and cancel appointments.
- Provide information regarding services, psychologists, pricing, and procedures.
- Follow up with potential and existing clients when required.
- Maintain a positive and professional first impression of the center.
Administrative Duties
- Manage daily appointment schedules and calendars.
- Maintain accurate client records and documentation.
- Assist with registration forms and onboarding of new clients.
- Organize and update files, spreadsheets, and internal documents.
- Prepare reports and perform data entry as required.
- Support psychologists and management with administrative tasks.
Payments & Operations
- Process client payments and issue receipts.
- Track payments and maintain accurate records.
- Coordinate with the accounting team when required.
- Assist with daily operational activities to ensure smooth clinic functioning.
Communication & Coordination
- Coordinate with psychologists regarding schedules and appointments.
- Respond to inquiries professionally and promptly.
- Maintain confidentiality of all client information.
- Communicate effectively with clients, colleagues, and external partners.
Requirements
- Own valid UAE visa.
- Previous experience in reception, administration, customer service, or a similar role is preferred.
- Excellent communication skills in English.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
- Comfortable using CRM systems and scheduling software.
- Ability to work independently and as part of a team.
- High level of confidentiality and professionalism.
