Job Summary

The Finance & Office Administration Officer is responsible for managing daily financial transactions, maintaining accounting records, supporting payroll and budgeting activities, and overseeing office administration functions to ensure smooth business operations.

The role requires strong organizational, financial, and communication skills.

Key Responsibilities Finance & Accounting

  • Process accounts payable and accounts receivable transactions.
  • Prepare invoices, quotations, payment certificates, and follow up on collections.
  • Maintain accurate financial records and accounting documentation.
  • Reconcile bank statements, petty cash, and supplier accounts.
  • Assist in monthly, quarterly, and annual financial reporting.
  • Support budget preparation and expense monitoring.
  • Coordinate with external auditors, banks, and government authorities.
  • Ensure compliance with UAE VAT regulations and financial policies.
  • Prepare payroll data and coordinate salary processing.
  • Monitor cash flow and prepare financial summaries for management.

Office Administration

  • Manage daily office operations and administrative activities.
  • Maintain company records, licenses, contracts, and employee files.
  • Coordinate office supplies, equipment, and facility requirements.
  • Handle incoming correspondence, emails, and telephone inquiries.
  • Arrange meetings, prepare minutes of meetings, and maintain records.
  • Coordinate travel arrangements, hotel bookings, and visa documentation when required.
  • Support HR activities including onboarding, leave records, and employee documentation.
  • Assist management with reports, presentations, and business correspondence.
  • Ensure compliance with company policies and administrative procedures.

Qualifications

  • Bachelor's Degree in Accounting, Finance, Business Administration, or related field.
  • Minimum 3–5 years of experience in finance and office administration.
  • Experience in UAE accounting practices and VAT regulations preferred.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Experience with accounting software (Tally, Zoho Books, QuickBooks, SAP, or similar).
  • Strong analytical and organizational skills.
  • Excellent communication skills in English (Arabic is an advantage).
