About This Role

1. Basic Function

The Facilities and Maintenance Supervisor is responsible for ensuring that the facilities of managed buildings and equipment meet safety, regulatory and operational standards through regular inspections, maintenance assessments and compliance monitoring.

The role involves regular inspections to identify potential issues and recommend corrective actions to maintain a safe, efficient working environment and ensure all health and safety parameters are in place as per statutory requirements.

2. Major Duties and Responsibilities

  • Prepare an inspection schedule for every calendar year and share an updated version with the manager on a monthly basis. Improvise and expedite delays if needed to ensure that the properties are inspected and reports are completed in a timely manner and in line with the prepared schedule and/or agreed timeframes.
  • Create and follow a comprehensive inspection checklist to cover all relevant aspects of the facilities.
  • Conduct routine and non-routine inspections/audits in managed properties, to ensure professional standards are being maintained, analyze the condition of all assets, general safety and aesthetic appearance. Document the findings from these inspections, prepare formal reports as necessary and issue them in a timely manner to the concerned team including the Portfolio Managers and Property Supervisor. Escalate serious concerns to the FM Manager, where necessary.
  • Identify and document any deficiencies, damages, violations or potential hazards during inspections.
  • Categorize and prioritize issues based on severity and urgency.
  • Coordinate with Property Supervisors and Property Administrators as necessary to seek operational updates as maybe necessary to conclude inspection reports
  • Provide recommendations for preventive maintenance and improvements to enhance the overall efficiency and safety of facilities.
  • Provide recommendations or suggestions by proposing creative and innovative solutions or any improvements in existing FM practices.
  • Conduct functional system tests for MEP and/or Fire Alarm/Fire Fighting systems in managed buildings as scheduled or instructed by the FM manager.
  • Ensure an accurate filing and tracking system is maintained for all the routine FM reports such as Annual Building Inspection report, Fire Alarm and Fire Fighting system report and the issues picked up through the inspections are promptly added to the applicable software in use or other form of tracking system/software as may be in practice from time to time.
  • Ensure that all service providers operate within the legal parameters, rules and regulations of the relevant authorities and all health and safety parameters are in place for managed properties as per Municipality, Civil Defense and other statutory requirements (as applicable).

Qualifications

  • Diploma or Bachelor's degree in Mechanical/Electrical engineering or any relevant certification or qualification in Facilities Management or equivalent.
  • Minimum of 3 years’ experience in UAE.
  • Experience in Construction field and/or in Defect Liability Period and doing Snagging/De-Snagging inspections will be a huge advantage
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel and PowerPoint.
  • Strong knowledge of building codes, safety regulations and best industry practices
  • UAE driving license and own car

Technical Skills

  • Have in depth understanding and knowledge of local laws and standards with respect to the operation and maintenance of properties. This includes the regulations and requirements from DEWA, Dubai Municipality, Dubai Civil Defense, SIRA, etc. including those applicable for other emirates as well.
  • Experience in facility management for buildings in UAE.
  • Have a complete understanding of all MEP systems in residential/commercial/mixed-use properties and associated Facility Management (FM) services, maintenance practices and terminologies.
