Scope & Summary
The External Repair Executive is responsible for managing the end-to-end administrative workflow of the aircraft parts repair cycle from initiating repair orders through to final delivery and invoice closure. Working at the interface of operations, procurement, and external repair stations, the role ensures that all unserviceable components are tracked, repaired, and returned to serviceable status in the shortest possible turnaround time, at the best achievable cost, and in full compliance with aviation regulatory requirements. This position is ideal for a detail-oriented professional with a strong understanding of MRO repair flows, vendor management, and aviation documentation standards.
• Repair Order Management
- Create, raise, and process repair orders for unserviceable aircraft components in the company's ERP/CRP system (Pentagon 2000 or Quantum or AMOS)
- Ensure all repair orders are accurately documented with part number, serial number, reason for removal, and serviceability requirements.
- Monitor the lifecycle of each repair order from initiation through vendor receipt, repair progression, and final serviceable return.
- Maintain and update repair order status in real time, flagging delays or anomalies to the Repair Manager.
• Repair Shop Follow-Up & TAT Management
- Liaise daily with approved repair stations and MRO vendors to track repair progress and confirm estimated completion dates.
- Challenge and actively manage turnaround times (TATs) to maximise part availability.
- Escalate unresponsive vendors or at-risk TATs proactively; coordinate with Repair Manager to resolve bottlenecks.
- Track inbound/outbound shipments and coordinate with logistics to ensure timely despatch and receipt of components.
- Quotation Management
- Request, receive, and evaluate repair quotations from approved suppliers in line with company procurement policies.
- Analyse quotations for cost competitiveness, scope of work accuracy, and regulatory compliance before routing for approval.
- Negotiate pricing and repair terms within delegated authority; escalate above-threshold approvals as required.
- Benchmark vendor pricing against historical data and market rates to identify cost-saving opportunities.
• Supplier & Vendor Relations
- Build and maintain strong working relationships with approved repair stations globally,
- Maintain the repair vendor database, including pricing schedules, TAT commitments, capability lists, and regulatory approvals.
- Evaluate supplier performance across quality, cost, delivery, and responsiveness; escalate poor performers for review.
- Coordinate warranty claims and ensure suppliers honour warranty repair commitments for components still within warranty period.
- Support the identification and onboarding of new approved repair stations in alignment with quality and procurement teams.
• Documentation, Compliance & Reporting
- Ensure all repair documentation — including release certificates (EASA Form 1, FAA 8130-3, GCAA, CAA UK ) work orders, and test reports is received, verified, and filed accurately.
- Analyse technical documentation for completeness and compliance; report and resolve any discrepancies with suppliers.
- Prepare regular reports on repair costs, vendor TAT performance, open repair orders, and cost-saving achievements.
- Maintain master data accuracy in the ERP/CRP system (Pentagon 2000 or similar) to support operational reporting and audit readiness.
- Support internal and external audits by providing accurate, complete, and timely repair records.
- Cross-Functional Collaboration
- Collaborate with the Sales, Customer Support, Purchasing, and technical teams to align repair priorities with customer commitments and aircraft availability.
- Support the Purchasing team in identifying cost-saving initiatives and optimising repair logistics flows.
- Perform ad-hoc duties as assigned in support of departmental efficiency and customer satisfaction.
Qualifications & Experience
- Diploma or Degree in Aviation Management, Engineering, Supply Chain, or related field preferred.
- 2–5 years of experience in a Repair Coordinator, Repair Admin, within an MRO, airline, or aviation trading organisation.
- Familiarity with aviation regulatory frameworks: EASA Part-145, FAA, GCAA, CAA UK and associated airworthiness documentation.
- Familiarity with airworthiness release documentation (EASA Form 1, FAA 8130-3, GCAA, CAA UK release certificates).
- Proven experience raising and managing repair orders in an ERP system (Pentagon 2000, Quantum, AMOS, or similar).
- Experience working in a multi-region, cross-functional aviation operations environment is advantageous.
- Demonstrated ability to manage multiple open repair orders simultaneously in a fast-paced environment.
