Role Summary
The Office Secretary is the organisational backbone of the company — managing schedules, documents, correspondence and day-to-day office operations, and supporting the CEO and coordination across the sales, fleet and operations teams.
The role suits a detail-oriented, proactive person who thrives in a busy startup environment and handles confidential information with discretion.
Key Responsibilities
- Manage the CEO's and leadership's calendars, appointments and meetings; prepare agendas, take notes and track follow-ups
- Handle incoming calls, emails and messages; draft and route communication to the right person
- Organise and maintain physical and digital records — contracts, agreements, invoices and reports — accurately and confidentially
- Coordinate between the sales, fleet operations and management teams
- Greet and assist visitors, clients and partners professionally
- Manage office supplies, procurement and vendor coordination
- Assist with staff and rider onboarding paperwork, document preparation and HR/admin filing
- Prepare, format and proofread documents, letters and presentations
- Arrange bookings, travel and appointments as needed
- Handle ad-hoc administrative tasks to support the team
Requirements
- High school diploma or Bachelor's degree; a secretarial or administration certificate is a plus
- 1–3 years' experience as a secretary, administrative assistant or office coordinator (UAE experience preferred)
- Proficiency in Microsoft Office — Word, Excel, PowerPoint and Outlook
- Fluent English (written and spoken)
- Excellent organisation, time-management and multitasking skills
- Professional communication and the discretion to handle confidential information
- Proactive, reliable and comfortable in a fast-paced startup environment
