Executive Secretary – Industrial Engineering

Job Overview

Key Responsibilities

• Manage calendars, meetings, appointments, correspondence arrangements.
• Prepare professional letters, reports, presentations, meeting agendas and minutes.
• Maintain confidential records, technical documents and management files.
• Track projects, action items, deadlines and departmental deliverables.
• Analyse operational data and prepare management reports, dashboards and presentations.
• Coordinate with Sales & Marketing team, planning, procurement, CRM team, engineering and other departments.
• Follow up with internal teams to ensure timely completion of management instructions.
• Assist with process documentation, workflow mapping and continuous-improvement initiatives.
• Organize meetings and ensure decisions and action points are properly recorded and followed up.
• Screen calls, emails and requests, prioritizing urgent matters for management.
• Handle sensitive and confidential information with discretion and professionalism.

Requirements

• Bachelor’s degree in Industrial Engineering or a closely related engineering discipline.
• Minimum 3–5 years of experience in an executive secretarial, technical coordination or management-support role.
• Previous experience in a manufacturing, engineering or industrial organisation is preferred.
• Strong administrative, organisational and follow-up skills.
• Ability to work under pressure, manage priorities and meet strict deadlines.
• High level of confidentiality, accuracy and attention to detail.
