Role Description

The Executive Secretary will provide comprehensive administrative and executive support to senior leadership, ensuring efficient day-to-day office operations.

This full-time, on-site role in Dubai, United Arab Emirates, includes managing calendars, scheduling meetings, coordinating travel, and preparing correspondence, reports, and presentations.

The role involves organizing and maintaining files and records, handling incoming and outgoing communication, and supporting internal and external meetings, including taking minutes and tracking follow-up actions.

The Executive Secretary will serve as a key point of contact for stakeholders, assist with company secretarial tasks, and support event and project coordination related to Ferjan Dubai’s community initiatives.

Arabic Soeaker

  • Strong clerical skills, including document management, filing, data entry, and office organization.
  • Excellent communication skills, with the ability to interact professionally with executives, team members, and community stakeholders.
  • Experience in company secretarial work, such as preparing agendas, minutes, and maintaining corporate records.
  • Proven executive administrative assistance capabilities, including calendar management, travel coordination, and meeting support.
  • Customer service skills, with a focus on responsive, courteous, and culturally aware engagement.
  • Proficiency in MS Office or similar productivity tools (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management abilities, with attention to detail and reliability in a fast-paced environment.
  • Ability to maintain confidentiality, demonstrate discretion, and handle sensitive information appropriately.
  • Fluency in English; Arabic language skills are highly beneficial.
  • Previous experience in an executive support or secretarial role; experience within community-focused or cultural organizations is an advantage.
