Role Description

Executive Assistant to the CEO

Maroon Architects is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO in the daily management of business operations.

This is a full-time, on-site position based in Dubai.

The successful candidate will act as the CEO's right hand, ensuring efficient coordination across projects, administration, client communications, and internal operations.

Key responsibilities include managing the CEO's calendar, meetings, and communications; preparing quotations, contracts, reports, presentations, and business correspondence; coordinating with clients, suppliers, contractors, and internal teams; organizing company documentation and records; following up on project deliverables and action items; supporting HR and office administration; and assisting in maintaining smooth day-to-day business operations.

This role requires excellent organizational skills, strong attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Qualifications

  • Proven experience as an Executive Assistant, Personal Assistant, Operations Coordinator, Office Manager, or in a similar administrative role.
  • Excellent organizational, planning, and time management skills.
  • Strong written and verbal communication skills in English. Arabic is an advantage.
  • Experience preparing quotations, contracts, reports, presentations, and professional business correspondence.
  • Ability to coordinate effectively with clients, suppliers, contractors, consultants, and internal teams.
  • Strong follow-up skills with the ability to manage multiple ongoing tasks simultaneously.
  • High level of professionalism, discretion, and confidentiality.
  • Excellent problem-solving skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Experience with project management or collaboration tools is considered an advantage.
  • Previous experience in architecture, interior design, construction, fit-out, or project management companies is highly preferred.
  • Bachelor's degree in Business Administration, Management, or a related field is preferred.
