Executive Assistant to Founder/CEO Fivio & Co. \| New York City (Remote)

Fivio & Co. is an early-stage luxury hospitality group developing a flagship subterranean Mediterranean steakhouse in New York City, with a long-term vision to scale nationally and eventually internationally — with Dubai as a key expansion market.

We are building a high-performance, detail-obsessed organization from the ground up, centered around elite guest experience, operational precision, and strong brand identity.

This is day one.

We are not a structured company yet — and the right person for this role knows exactly what that means and wants it anyway.

Compensation & Structure

  • Part-time (with opportunity to become full-time tied to company growth), remote role
  • $3/hour (early-stage rate — growth in compensation tied directly to company growth)
  • Flexible hours based on workload and shifting priorities
  • High ownership from day one with a direct line to the Founder

About The Role

We are looking for a high-level Executive Assistant to work directly with the Founder — not as a task-taker, but as a right hand.

This is not a polished corporate EA role.

The environment is fast-moving, unstructured, and evolving.

Priorities shift.

Systems don't exist yet — you'll be the one building them from scratch.

You will be the central point of organization, communication, and execution while the Founder focuses on relationships, investors, and growth.

The ideal candidate anticipates what's needed before being asked, filters what matters from what doesn't, operates with the professionalism of someone who has worked in elite high-pressure environments, and knows how to source the right people when something falls outside their lane.

This role has a direct pathway into an Operations position as the company scales — including potential to lead international expansion.

Requirements

  • **Must be a born Emirati, based in Dubai**
  • **Fluent in English (additional languages a strong plus)**
  • **Highly organized with exceptional attention to detail**
  • **Proactive — you solve problems before they become problems**
  • **Calm and focused under pressure with multiple moving priorities**
  • **Strong written and verbal communication with a professional presence**
  • **Comfortable operating with limited structure and building systems from scratch**
  • **Able to source and coordinate third-party specialists when needed**
  • **Proficient in or willing to learn quickly:**
  • **Google Workspace (preferred over Microsoft)**

• Microsoft Office (Excel, Word, PowerPoint)

• JIRA And Monday.com And Asana

  • Salesforce or HubSpot

• Zoom And Google Meet

  • Must be able to produce clear, concise

  • Highly experienced in AI tools — specifically
  • ChatGPT and Claude
  • , including advanced prompting, workflow automation, and using AI to maximize productivity and output quality

Executive & Calendar Support

  • Manage the Founder's daily priorities, calendar, and scheduling
  • Coordinate meetings, investor conversations, and partner communications across time zones
  • Filter and organize the Founder's inbox — flag what matters, handle what doesn't need his attention
  • Write and send emails on behalf of the Founder (pending approval)
  • Prepare the Founder before every meeting with briefings, key discussion points, and background context
  • Maintain and regularly update a master contact list
  • Prepare and deliver a
  • daily executive summary
  • to the Founder each morning — covering priorities, pending items, scheduled meetings, and anything requiring immediate attention
  • Create and manage
  • immediate to-do lists
  • for all active tasks and follow them through to full completion — nothing is closed until it's done

Operations & Project Coordination

  • Track all active initiatives across restaurant development, hiring, branding, and launch timelines
  • Coordinate between vendors, designers, consultants, and team members
  • Source and vet third-party specialists when needed (CRM consultants, developers, etc.)
  • Ensure deadlines and deliverables are met without the Founder having to chase them
  • Build and maintain SOPs as systems are established
  • Assist with organizing and managing shared Google Drive and internal file systems
  • Support domain, website, and platform transitions as needed

Crm & Systems Setup

  • Help evaluate, set up, and manage CRM tools (Salesforce preferred) from scratch
  • Build out contact databases, reporting structures, and workflows
  • Assist in implementing project management tools (Monday.com, Asana, JIRA)
  • Help determine the right tech stack for the company's current stage and growth
  • ChatGPT (advanced prompting)
  • Claude by Anthropic (advanced prompting)

Strategic & Administrative Support

  • Assist in preparing decks, documents, and reports using Canva, PowerPoint, and Google Slides
  • Conduct research and compile insights for decision-making
  • Take meeting minutes and distribute follow-ups and action items
  • Handle inquiries and communications with professionalism on behalf of the Founder

Brand & Content Support

  • Assist with organizing brand materials and assets across shared drives
  • Support content coordination as raw materials come in
  • Ensure all documents, decks, and communications reflect the brand standard consistently

Restaurant & Hospitality Operations Support

  • Assist with menu documentation, vendor coordination, and category management
  • Support planning around guest experience strategy, reservations, and events
  • Understand the restaurant concept well enough to represent it in communications
  • Assist with early-stage launch logistics as timelines develop

Preferred Experience

  • Experience supporting a founder, C-suite executive, or startup team
  • Background in hospitality, restaurant operations, or delivery/food tech platforms
  • Experience with CRM setup and management (Salesforce strongly preferred)
  • Startup experience — especially building systems from zero
  • Experience with mergers, acquisitions, or vendor coordination
  • Familiarity with investor-facing communications or pitch materials
