Role Overview

  • Join us as an Executive Assistant in our newly established team based in Riyadh.
  • Provide proactive, high level administrative, organisational, and logistical support to the CEO and Head of Investment Banking Saudi Arabia and the wider Saudi team.

What you will be doing

  • Calendar Management: plan, coordinate, and manage complex diaries across multiple time zones.
  • Travel & Logistics: arrange flights, visas, accommodation, and ground transportation.
  • Meeting Support & Coordination: manage internal and client meetings, update internal portals.
  • Systems & Tools: maintain client details in Outlook and internal Barclays portals.
  • Event Management: support client events, conferences, and roadshows in Saudi and MENA region.
  • Expense Management: process and reconcile expense claims on a timely basis.
  • Stakeholder support team Management: coordinate logistics for visiting Senior Executives.
  • Team Support: provide broader administrative support including onboarding, distribution lists, leave records.
  • Day to Day & Ad Hoc Support: handle various tasks and requests from CEO and broader team.

Essential Skills/Basic Qualifications

  • Proven experience supporting senior executives in a large and matrixed organisation.
  • Strong organisational skills with ability to prioritise, multi task, and deliver to tight deadlines.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism when handling confidential information.
  • Strong attention to detail and problem solving abilities.
  • Proficiency in English and Arabic (written and spoken).

Desirable skills/Preferred Qualifications

  • Previous experience as an Executive Assistant within Financial Services.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).

Purpose of the role

  • Manage the executive's schedule, handle correspondence, prepare presentations and reports, and provide other administrative support.

Accountabilities

  • Management of senior executive members calendars and overseeing timely responses.
  • Planning and arranging travel itineraries.
  • Proactively anticipating needs of the senior executive.
  • Management of day to day administrative tasks such as expenses, filing, office supplies, leave records.
  • Management and facilitation of senior executive members meetings.
