Role Description

This is a full-time, on-site Executive Assistant role based in Abu Dhabi.

The Executive Assistant will provide comprehensive executive support, including managing calendars, coordinating meetings, arranging travel, and preparing correspondence, presentations, and meeting materials.

The role includes handling expense reports, tracking reimbursements, and maintaining accurate records and documentation.

The Executive Assistant will act as a key point of contact between executives and internal/external stakeholders, ensuring timely communication and follow-up on action items.

Responsibilities also include organizing files, maintaining confidential information, supporting office administration tasks, and proactively anticipating executive needs to ensure smooth daily operations.

Qualifications

  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and stakeholder communication.
  • Proficiency in Administrative Assistance tasks such as document preparation, filing, data entry, and office coordination.
  • Experience preparing and managing Expense Reports, with attention to detail and basic financial tracking abilities.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally at all organizational levels.
  • High level of discretion and integrity when handling confidential information.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Proficiency in common office software (e.g., MS Office Suite, email, calendars); familiarity with collaboration tools is an advantage.
  • Previous experience as an Executive Assistant or similar administrative role; experience in HR or professional services is a plus
