Event Coordinator

Role overview

Event sales and lead management

• Manage catering and private-event enquiries across WhatsApp, Instagram, email, the website, and other channels.
• Maintain a lead tracker with every enquiry, event date, guest count, estimated value, status, and next action.
• Follow up consistently with qualified leads until events are confirmed or lost.
• Prepare proposals and quotations based on catering packages; upsell services, menu options, equipment, and event setups where appropriate.
• Secure deposits, confirm bookings, record why opportunities were won or lost, and reactivate previous customers and leads.

Business development and partnerships

• Generate opportunities through outreach to event companies, wedding planners, corporate agencies, hotels, venues, party planners, concierge companies, offices, schools, communities, villa managers, and PR and marketing agencies.
• Identify potential partners, contact decision-makers, arrange meetings, and establish Rossovivo as a preferred or recommended supplier.
• Build and maintain a UAE database of event companies and planners, conduct weekly outreach, and arrange tastings and meetings where appropriate.
• Negotiate referral agreements and commercial partnerships, maintain partner communication, and track revenue generated by each partnership.
• Identify the strongest partnerships and focus resources on those producing recurring business.

Private events and event coordination

• Generate and close home catering, birthday parties, weddings, engagements, private dinners, villa events, corporate events, product launches, office celebrations, staff events, school events, and large-scale catering opportunities.
• For confirmed events, prepare the internal brief and confirm menu, guest count, timings, location, and setup requirements.
• Coordinate requirements with kitchen and operations teams and confirm equipment, staffing, and transportation needs.
• Keep the event calendar updated, ensure payment terms and deposits are respected, and follow up with clients after events.

Pay

• Pay starts from AED 5,000 per month.

Work location

• Work location is in person.

Requirements

• Actively develop new catering and private-event business rather than only managing incoming enquiries.
• Identify potential partners, contact decision-makers, arrange meetings, and establish Rossovivo as a preferred or recommended catering supplier.
• Own client relationships from initial enquiry to confirmed event.
