About the Role
An education foundation is seeking an experienced ERP Project Manager to lead the successful selection, implementation, and adoption of a new Microsoft Dynamics 365 ERP platform.
This role will serve as the Foundation's primary representative throughout the implementation lifecycle, acting as the bridge between business stakeholders, leadership, and the selected implementation partner.
The Project Manager will be responsible for ensuring that the ERP solution reflects the Foundation's operational needs, supports future growth, and delivers a practical, intuitive, and user-friendly experience.
They will help ensure that the platform is designed not only to meet today's requirements, but also to support an agile, scalable, and efficient operating environment as the Foundation evolves.
The successful candidate will combine strong project management capabilities with business process understanding, stakeholder engagement skills, and sound judgment.
They will help ensure that business requirements are clearly understood, implementation decisions are aligned with organizational objectives, and opportunities to simplify, improve, or streamline processes are considered where appropriate.
While the implementation partner will provide technical expertise and solution delivery, the ERP Project Manager will act as the Foundation's advocate, ensuring that the final solution balances industry best practices, governance and compliance requirements, operational effectiveness, and user experience.
Role Purpose
The ERP Project Manager will oversee the implementation of Microsoft Dynamics 365 (Finance, Procurement, and HR), together with associated licensing, cloud environments, integrations, reporting capabilities, and supporting technologies.
The role will ensure that the Foundation receives a solution that is scalable, maintainable, and aligned with its operating model while supporting effective adoption across the organization.
ERP Vendor Selection & Mobilization
- Participate in the evaluation and selection of the ERP implementation partner.
- Review proposals, implementation approaches, project plans, and resource models.
- Support vendor assessment workshops, demonstrations, and evaluation activities.
- Assist with contract finalization, implementation planning, and project mobilization.
- Ensure implementation plans align with the Foundation's priorities, timelines, and business objectives.
Project Leadership & Governance
- Lead the Foundation's ERP implementation programme from initiation through go-live and stabilization.
- Establish project governance, reporting structures, and decision-making forums.
- Develop and maintain project plans, milestone tracking, risk registers, issue logs, and status reporting.
- Coordinate activities across business teams, vendors, consultants, and external stakeholders.
- Monitor implementation progress and ensure timely resolution of risks, issues, and dependencies.
- Prepare updates and recommendations for leadership and steering committees.
Business Process & Solution Oversight
- Work closely with business teams to understand operational requirements, priorities, and future growth objectives.
- Assess existing processes, policies, and workflows to ensure they are sufficiently defined, practical, and suitable for implementation within the ERP solution.
- Support stakeholders in identifying opportunities to simplify, streamline, standardize, and automate processes where appropriate.
- Ensure business requirements are translated into solutions that are both operationally effective and sustainable over the long term.
- Review proposed configurations, workflows, approval structures, and system designs to ensure they align with the Foundation's operating model and strategic objectives.
- Promote solutions that balance compliance, governance, usability, and efficiency.
- Help ensure the ERP supports agile ways of working, minimizes unnecessary complexity, and remains adaptable to future organizational growth and change.
- Work collaboratively with stakeholders and implementation partners to identify practical enhancements that improve user experience, operational effectiveness, and reporting capability.
- Ensure the solution is designed with scalability, maintainability, and ease of use as core principles.
User Experience & Adoption
- Advocate for solutions that are intuitive, efficient, and user-friendly.
- Ensure user experience considerations are incorporated throughout design and implementation activities.
- Support stakeholder engagement, communications, training, testing, and readiness activities.
- Coordinate user acceptance testing and business sign-off processes.
- Monitor adoption risks and support activities that encourage successful uptake of new processes and systems.
- Help ensure the ERP enables better ways of working rather than simply digitizing existing practices.
Technology, Licensing & Environment Coordination
- Coordinate decisions related to the broader technology ecosystem supporting the ERP implementation.
- Support procurement and setup activities for:
- o Microsoft Dynamics licensing
- o Microsoft 365 licensing (where applicable)
- o Azure cloud environments
- o Microsoft Entra ID and security requirements
- o Reporting and analytics platforms
- o Supporting integrations and third-party solutions
- Ensure technology decisions are aligned with business needs, scalability requirements, and budget considerations.
Vendor & Partner Management
- Act as the primary point of coordination between the Foundation and the implementation partner.
- Review deliverables, milestones, and quality of work throughout the engagement.
- Ensure implementation activities remain aligned with contractual commitments and agreed scope.
- Facilitate resolution of business and implementation challenges.
- Support effective collaboration between stakeholders and delivery teams.
Change Management & Organizational Readiness
- Support the Foundation through the organizational changes associated with ERP implementation.
- Coordinate stakeholder communications and engagement activities.
- Assist in developing training, knowledge transfer, and adoption plans.
- Ensure business teams are prepared to operate and support the solution following go-live.
- Promote a culture of continuous improvement and learning throughout the implementation.
Experience
- 5–10 years of experience in project management, ERP implementation, business systems, digital transformation, or related roles.
- Experience leading or supporting ERP implementation projects.
- Experience working with implementation partners, software vendors, and business stakeholders.
- Experience managing complex, cross-functional initiatives involving multiple stakeholders.
- Familiarity with Microsoft Dynamics 365 or similar enterprise platforms is desirable.
- Experience in vendor selection, procurement, or technology implementation projects is advantageous.
Skills & Attributes
- Strong project management and organizational skills.
- Excellent stakeholder engagement and workshop facilitation abilities.
- Strong communication and influencing skills.
- Ability to balance business needs, compliance requirements, operational realities, and user experience considerations.
- Practical and solutions-oriented mindset.
- Strong problem-solving and decision-making capabilities.
- Ability to identify opportunities to improve processes and ways of working where appropriate.
- Comfortable working in evolving and fast-paced environments.
- Strong attention to detail while maintaining focus on broader organizational objectives.
Success Measures
Success in this role will be measured not only by the delivery of the ERP project on time and within scope, but also by the quality, usability, and sustainability of the solution implemented.
The successful candidate will help ensure that the ERP reflects industry best practices while remaining aligned with the Foundation's operating model, scale, and future ambitions.
They will support the implementation of a solution that is compliant, scalable, and maintainable, while also being intuitive, efficient, and practical for day-to-day users.
Particular emphasis will be placed on ensuring that the ERP is easy to use, supports efficient workflows, enables informed decision-making, and remains flexible enough to evolve alongside the Foundation's future needs and growth.
Ultimately, success will be defined by the extent to which the ERP becomes an effective operational platform that users actively embrace, rather than simply a system of record used to meet process or compliance requirements.
