About the Role

We are looking for a Finance & Admin Intern to support our operations team with finance tracking, HR admin, and general office support.

This is a hands-on role with real responsibility from day one.

If you are organised, detail-oriented, and reliable, you will fit right in.

Finance & Tracking

  • Collect and check weekly timesheets from all team members
  • Update the project profitability tracker with costs, revenue, and margins
  • Track outstanding invoices and follow up on overdue payments (A/R)
  • Log outgoing payments and vendor invoices (A/P)
  • Support the bookkeeper with monthly expense compilation and receipt categorisation
  • Weekly check-ins with project leads to track costs, flag upcoming expenses, and keep senior management ahead of what's coming
  • Coordinate cheque collections from clients
  • Maintain organised, audit-ready financial records - ensuring all receipts, invoices, and payment documentation are filed accurately and on time

HR & People Admin

  • Track team course completions and send weekly reminders
  • Support onboarding and offboarding admin — documentation, system access, insurance updates
  • Maintain employee leave balances and flag discrepancies
  • Follow up on visa and insurance renewals and queries
  • Post job ads, manage applications, and send candidate communications

General Admin & Office Support

  • File and organise contracts, invoices, and documents on Google Drive
  • Support supplier registrations and send signed documents or POs to vendors
  • Monitor and order office supplies and consumables as needed
  • Ad hoc support across operations as required

What We Are Looking For

  • Currently studying or recently graduated in Finance, Accounting, Business Administration, or similar
  • Comfortable with numbers and spreadsheets
  • Detail-oriented and reliable — you follow up without being asked
  • Clear written communicator
  • Organised and calm when managing multiple tasks
  • Able to handle sensitive information with full discretion

What Good Looks Like

  • Timesheets checked every Monday without being chased
  • A/R tracker updated within 7 days of any invoice going overdue
  • Expense receipts reach the bookkeeper clean and categorised every month
  • HR records and leave balances always current
  • Documents filed correctly and easy to find
