About This Role

Key Responsibilities
· Maintain and manage all project documents, drawings, shop drawings, material submittals, method statements, RFIs, MIRs, WIRs, and transmittals.
· Operate and manage document workflows through Aconex.
· Ensure proper document numbering, revision control, filing, and archiving as per company and client standards.
· Upload, distribute, track, and retrieve documents from Aconex and internal servers.
· Coordinate with design, joinery production, site execution, QA/QC, procurement, and planning teams for document updates.
· Monitor the status of approved, pending, and rejected submittals.
· Maintain logs for shop drawings, material submissions, technical submittals, approvals, and site inspections.
· Ensure all latest revisions are issued to site teams, factory teams, and subcontractors.
· Track consultant/client comments and ensure timely response from internal departments.
· Prepare weekly and monthly document status reports.
· Maintain confidentiality and secure storage of all project records.
· Support project close-out documentation, O&M manuals, as-built drawings, warranties, and handover files.
· Coordinate with project teams to ensure all joinery and fit-out documentation aligns with project milestones.
Requirements & Qualifications
- Strong knowledge of Aconex document management system.
- Experience in joinery, furniture, woodwork, and interior fit-out documentation.
- Good understanding of shop drawing workflow and material approval process.
- Excellent document control, filing, and revision management skills.
- Strong communication and coordination skills.
- High attention to detail and accuracy.
- Ability to manage multiple projects and deadlines.
- Proficiency in MS Office (Excel, Word, Outlook).
- Familiarity with QA/QC and handover documentation.
