Documentation & Operations Coordinator

Overview

Responsibilities

• Prepare, review, and maintain shipping and logistics documentation (B/L, AWB, Commercial Invoice, Packing List, Certificates, etc.).
• Coordinate with shipping lines, overseas agents, customers, transporters, and customs brokers.
• Follow up on all open shipment files and ensure timely updates.
• Monitor shipment status and proactively follow up on pending actions.
• Maintain accurate records and filing systems for operational documents.
• Prepare daily, weekly, and monthly operational reports for management.
• Handle administrative and coordination tasks related to operations.
• Manage email correspondence and communication through Outlook.
• Support management with operational follow-up, scheduling, and task coordination.
• Ensure compliance with company procedures and documentation requirements.

Requirements

• Minimum 3 years of experience in Freight Forwarding, Shipping, Logistics, or Customs Clearance.
• **Freight Forwarding experience is mandatory.**
• Excellent command of English (written and spoken).
• **Fluent Arabic and English communication skills are required.**
• Strong proficiency in Microsoft Excel, Outlook, and Microsoft Office applications.
• Strong reporting, coordination, and organizational skills.
• Ability to manage multiple tasks and work under pressure.
• High attention to detail and commitment to deadlines.

Preferred Qualifications

• **UAE experience is an advantage.**
• Familiarity with Dubai Trade, shipping line portals, and customs procedures.
• Experience in preparing management reports and operational KPIs.

• Salary will be discussed based on qualifications and experience.
• Pay: From AED2,500.00 per month
