Document Controller/PMIS Manager
About This Role
Position Overview:
We are currently looking for a PMIS Manager responsible for establishing and managing all project documentation and information systems throughout construction project lifecycle, ensuring accurate document control, PMIS administration, and data integrity to support efficient project delivery.
Key Responsibilities:
Document Management & Control
- Establish and maintain document control procedures aligned with project requirements and industry standards
- Manage distribution, tracking, and archiving of drawings, specifications, submittals, RFIs, change orders, and contracts
- Implement version control protocols and maintain document registers with complete audit trails
- Coordinate document review and approval workflows across stakeholders
- Ensure compliance with contractual retention and retrieval requirements
PMIS Administration
- Administer and optimize PMIS platforms (Procore, Aconex, BIM 360, or similar)
- Configure system modules, manage user access, and provide training to project teams
- Develop standardized templates, forms, and reporting structures
- Generate reports and dashboards tracking project metrics and document status
- Troubleshoot system issues and coordinate with IT/software vendors
Quality Assurance & Compliance
- Conduct regular audits of document control processes
- Verify submissions meet project specifications before distribution
- Maintain compliance with ISO standards and regulatory requirements
- Support quality management documentation and closeout packages
Coordination & Reporting
- Serve as primary contact for document-related inquiries
- Train team members on document control procedures and PMIS functionality
- Generate status reports on submittals, RFIs, transmittals, and critical documentation
- Support project closeout including as-built documentation and O&M manuals
Required Qualifications Education & Experience
- Bachelor's degree in Construction Management, Engineering, or related field (or equivalent experience)
- 5-7 years in document control or PMIS management within construction
- Experience managing large-scale construction project documentation
- Proven proficiency with major PMIS platforms
Technical Skills
- Advanced proficiency in document management systems and construction software
- Strong Microsoft Office Suite skills, particularly Excel
- Familiarity with BIM workflows and CAD file formats
- Experience with cloud-based collaboration platforms
Professional Competencies
- Exceptional organizational skills with meticulous attention to detail
- Strong understanding of construction processes and documentation requirements
- Knowledge of construction contracts, specifications, and compliance standards
- Excellent communication and problem-solving abilities
- Ability to manage multiple priorities in fast-paced environments
Preferred Qualifications
- Certifications: CDC, PMIS platform certifications
- ISO 9001 quality management system experience
- Background in construction administration or project controls
- Knowledge of AIA, CSI standards, or LEED documentation requirements
