Document Controller – Job Description
Location: North Africa – Site Office (Main Contractor)
Position Summary
The Document Controller will manage, control, and track all project documentation for the luxury hotel project, ensuring accuracy, compliance, and timely distribution.
The role is fully site‑based and requires strong coordination with the construction team, technical office, subcontractors, consultants, and the head office.
Key Responsibilities
- Manage the full document control cycle for all project documents, including drawings, submittals, RFIs, method statements, material approvals, reports, and correspondence.
- Maintain and update the Document Control System (DCS) / EDMS, ensuring correct filing, version control, and traceability.
- Receive, log, distribute, and track all incoming and outgoing documents in accordance with project procedures.
- Ensure all drawings and documents are issued with correct revision numbers, dates, and transmittal references.
- Coordinate with site engineers, technical office, and subcontractors to ensure timely submission of required documents.
- Monitor document review cycles and follow up with consultants and internal teams to avoid delays.
- Prepare and issue transmittals, submission logs, drawing registers, and weekly/monthly document control reports.
- Ensure compliance with project document control procedures, naming conventions, and filing structures.
- Maintain hard copy and soft copy archives for all project documentation.
- Support the Project Manager and Construction Manager with documentation required for meetings, progress reports, and claims.
- Track and record all design changes, revised drawings, and consultant comments.
- Ensure confidentiality and controlled access to sensitive project documents.
- Assist in preparing handover documentation, O&M manuals, and final project dossiers.
- The position is **site‑based** and requires daily coordination with construction, technical, and QA/QC teams.
- The Document Controller will report directly to the **Project Manager** and coordinate closely with the **Technical Office Manager** and **Construction Manager**.
Skills & Qualifications
- Diploma in Business Administration, Engineering, or related field.
- Minimum 8 years of GCC experience as a Document Controller in construction projects; experience in hotel, high‑end, or fast‑track projects is preferred.
- Strong knowledge of document control procedures, ISO standards, and construction documentation workflows.
- Strong proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook), with the ability to prepare logs, reports, and well‑structured documentation.
- Excellent organizational skills, attention to detail, and ability to manage large volumes of documents.
- Strong communication skills and ability to coordinate with multidisciplinary teams.
- Ability to work under pressure and meet tight deadlines.
- Experience working with main contractors is required, with preference given to candidates who have worked on hotel construction site projects.
