About the role
Manage project documentation on site for the PMC team so drawings, submittals, correspondence and records are controlled, traceable and current for the Client, Contractor and wider project team.
Key Responsibilities
- Operate and maintain the project's document control system and common data environment (CDE), applying agreed naming conventions, metadata and revision control.
- Receive, log, distribute and track drawings, specifications, RFIs, material and technical submittals, transmittals, NCRs, site instructions and variation documentation.
- Monitor review and response timelines and chase overdue items with the Contractor, Designers and PMC reviewers.
- Maintain up-to-date registers and issue regular status reports.
- Ensure only current approved revisions are in use on site and withdraw superseded documents.
- Support the PMC team with meeting minutes, progress reports and handover documentation.
- Support audits and QA/QC reviews by keeping records complete, auditable and retrievable.
- Handle project information in line with confidentiality and information classification requirements.
Requirements
- Diploma or degree in a relevant field, or equivalent experience.
- 5 to 10 years' document control experience on construction or infrastructure projects, ideally with a PMC or consultancy.
- Experience with a CDE or EDMS platform (e.g. Oracle, Unifier, Aconex, Procore, SharePoint or similar).
- Strong working knowledge of construction documentation workflows (submittals, RFIs, transmittals, as-builts).
- Proficient in MS Office, especially Excel.
- Excellent attention to detail, organization and written English.
