About This Role
We’re excited to invite a dynamic and enthusiastic Customer Support Coordinator to our team! This vital role is all about delivering exceptional customer service, utilizing top-notch interpersonal and organizational skills.
You'll thrive by engaging with customers over the phone and via email, all while supporting the amazing work of our Technical Service Team. Your attention to detail will be crucial in ensuring every piece of information and every process is not just accurate, but also effective!
What You’ll Be Doing:
- Mastering the schedule for installation and maintenance missions while proactively reminding our valued customers of their upcoming appointments. You'll coordinate visits, arrange necessary tools, keep our CRM system updated with the latest service details, and manage invoicing for the fantastic services we deliver.
- Ensuring that every installation and maintenance request is handled swiftly and correctly, providing timely and important reports on our services.
- Being the go-to resource for customer inquiries about spare parts, product specifications, exciting new products, discontinued items, and updates. You'll prepare and share spare parts quotations, making sure to follow up with customers.
- Collaborating closely with our dedicated team to guarantee efficient shipment and delivery, keeping customers in the loop every step of the way!
- Confirming Sales Orders and updating customers on shipping dates to ensure they're always informed.
- Coordinating new machine purchases between our awesome sales team and suppliers to streamline processes.
- Preparing Letters of Credit for customers that outline all agreed-upon payment terms, and passionately following up on machine shipment and delivery schedules..
- Scheduling special tools and working with customers to issue gate passes as needed.
- Offering administrative support to keep our processes running smoothly and meeting performance standards, all while ensuring a confidential and organized system for both digital and physical files.
- Maintaining an up-to-date customer and supplier database, including contact details, product preferences, and any special terms that make our service uniquely tailored.
- Participating in additional administrative activities and helping foster a culture of growth through coaching, mentoring, and knowledge-sharing with team members.
Experience & Skills:
- You bring at least 2 years of experience as a sales coordinator or in administrative roles, with a preference for industry experience.
- You’re comfortable with CRM software and MS Office, especially Excel, and possess excellent verbal and written communication skills.
- You thrive in using online communication tools and have exceptional organizational abilities.
- Your multitasking skills shine, and you can juggle various responsibilities seamlessly.- Fluency in English is key, as strong communication with clients and colleagues is essential to this role.
