About The Role
We are looking for a customer-focused and detail-oriented **Customer Sales Representative** to support our Sales and Marketing team.
This role is responsible for ensuring accurate order processing, effective customer communication, timely coordination of deliveries, and maintaining sales documentation while delivering excellent customer service.

Role Summary
The Customer Sales Representative is responsible for preparing quotations, processing sales orders, coordinating deliveries, maintaining customer and product records, and supporting day-to-day sales operations.
The role works closely with Sales, Stores, Procurement, Finance, IT, and other internal teams to ensure customer requirements are met efficiently and accurately.
Sales Administration
- Prepare, review, and process customer quotations and sales orders.
- Prepare proforma invoices, customer correspondence, and other sales-related documents.
- Process sales order amendments, cancellations, and purchase order modifications.
- Maintain accurate sales records, quotations, and customer orders within the Oracle ERP/CRM system.
- Maintain organized records of customer quotations, follow-ups, and sales activities.
Customer Service
- Respond promptly to customer inquiries regarding product availability, pricing, stock status, and delivery schedules.
- Coordinate with internal departments to ensure timely order fulfillment and excellent customer service.
- Build and maintain positive relationships with customers by providing professional and timely support.
Order & Delivery Coordination
- Maintain delivery and shipment schedules to ensure orders are delivered on time.
- Coordinate with Stores, Procurement, Finance, IT, and Sales Counter teams to ensure smooth order processing.
- Prepare material return documentation and coordinate the approval process.
Product & System Administration
- Monitor and maintain product item master records.
- Coordinate new item code creation and updates through the appropriate departments.
- Ensure supporting documentation is complete and accurately maintained.
General Support
- Support Sales Counter operations when required by assisting customers, preparing cash invoices, and coordinating deliveries.
- Ensure compliance with company policies, procedures, and documentation standards.
- Provide administrative support to the Sales Team.
- Perform other duties as assigned by management.
Education
- Secondary school education with a certificate in computer applications.
Experience
- Minimum of **3 years of experience** in sales administration, customer service, or sales support.
- Experience using Oracle ERP/CRM or similar business systems is preferred.
- Experience within a manufacturing, industrial, or trading environment is an advantage.
