The ideal candidate is organised, proactive, and comfortable handling high volumes of calls while delivering a warm and professional front-desk experience.
They understand how to build trust with parents, present programs confidently, and take ownership of the full admissions journey from first contact to conversion, while representing the academy with professionalism and polish.
Customer Inquiries & Sales Support
- Act as the primary point of contact for all inbound calls, WhatsApp messages, emails, and walk-in inquiries, delivering a warm, confident, and professional customer experience
- Proactively convert inquiries into trial bookings and registrations through timely, persuasive, and well-structured outbound calls
- Conduct outbound follow-ups with:
- New leads and prospective members
- Trial participants to drive conversion
- Existing members for renewals, upgrades, and retention support
- Clearly and confidently present academy programs, schedules, fees, and policies, tailoring the message to each family’s needs
- Build trust and long-term relationships with parents through attentive listening, accurate information, and consistent follow-up
- Address questions, concerns, and objections with empathy and solution-oriented communication, ensuring a smooth and positive customer journey
Admissions & Conversions
- Actively convert inquiries into trial sessions and confirmed registrations
- Manage and follow up on leads with consistency and urgency until conversion or clear closure
- Coordinate trial scheduling and registrations in close collaboration with operations and coaching teams
Reception & Front Desk Duties
- Support basic administrative and operational tasks, including inventory ordering and tracking, data entry, and document management
- Coordinate closely with the Operations team on schedules, trial lists, registrations, and daily front-desk requirements
- Assist with internal communication to ensure accurate information flow between customer-facing staff, coaches, and operations
- Maintain organised records and ensure all front-desk documentation is accurate and up to date
C) Job Must Haves
- Previous experience in customer service, sales support, reception, or call-based roles
- Excellent verbal and written communication skills in English
- Highly proficient and comfortable working across digital tools and systems, including CRM platforms, Excel, Google Sheets, Google Forms, Gmail, and WhatsApp Business, with the ability to learn new systems quickly
- Confident and comfortable handling high volumes of inbound and outbound calls
- Strong interpersonal skills with the ability to build trust and rapport quickly
- Customer-first mindset with solid problem-solving ability
- Highly organized, detail-oriented, and reliable in follow-up and record-keeping
- Clear, confident, and professional phone manner
- Ability to multitask, prioritize, and remain calm under pressure in a fast-paced environment
- Strong sales awareness with the ability to convert without being aggressive or pushy
- Professional appearance, attitude, and conduct at all times
