Role Overview

The role is predominantly administration and customer-service-based and involves administering the ‘Company Set-up, Required Amendments, Ongoing Corporate Governance, and Visa Processing' sector of the business unit.

The candidate will be the first point of contact when the client agrees to process the incorporation of the company and when the clients wish to renew or make a change to their company license or structure.

Predominant tasks will include handling company set-ups, bank account opening, license renewals, share transfers, increase/decrease in capital, changing of a company's officeholder, change of license activities or address, changes to a company’s name, visa applications and cancellation, and so on.

To be able to achieve this and provide the correct advice with strict accuracy to our clients, the candidate requires in-depth knowledge of the processes and the rules and regulations of the various free zones, as well as onshore companies [mainland].

The candidate will liaise with our clients daily, managing applications, responding to ad-hoc requests, providing regular updates on ongoing applications, and liaising with third-party government authorities and Free Zone officials regularly.

Although training is provided, we prefer a candidate with experience in the CSP industry.

Someone well-rounded in handling clients, administrative, and execution tasks.

Responsibilities

  • Familiarity with the rules and regulations surrounding UAE Free Zones and onshore (mainland) companies registered with the Department of Economic Development
  • Create a proposal for prospective clients via PowerPoint presentation
  • Onboarding, Client Due Diligence, and KYC of new prospective clients
  • Prepare tax invoices and engagement letters for services to be provided to the clients
  • Manage relationships with tagged clients and their employees
  • Company set-up, bank account opening, license renewals, and amendment procedures—share transfers, increase/decrease in capital, changing of company’s officeholder, change of license activities or address, changes to a company’s name, change of officeholders such as Director, Manager, Secretary, etc., company deregistration, reinstatement and so on
  • Drafting of Resolutions, Power of Attorney, Letters, and other documents associated with an application
  • Handling clients' visa applications and cancellations with close coordination with the PRO
  • Drafting replies to clients’ ad-hoc inquiries regarding their requirements and miscellaneous support services upon request
  • The ability to review and understand legal documentation such as Memorandum and Articles of Association, Resolutions, Registers, Certificate of Incumbencies, Power of Attorney, etc.
  • Following up with pending applications in process with Government and Free Zone Authorities – staying on top of each application and providing clients with regular updates on the status of these applications until completion
  • Personally visiting the government authorities to find out information or follow-up on ongoing applications [exceptional basis]
  • Keeping track of expiry dates of licenses, leases, establishment cards, and visas, and sending our reminders to clients ahead of time
  • Liaison with local banks, auditors, real estate agents, real estate agents, notary public, government consulates and embassies
  • Obtaining NOCs for various activities regulated by third-party authorities such as the Security Industry Regulatory Authority (SIRA), Dubai Police, Dubai Municipality, KHDA, and RTA, etc.
  • Awareness of the periodic changes and updates to government policies, laws, regulations, processes, requirements, and their resulting impact on the client’s businesses. Keep clients updated for such changes and provide solutions for them in the form of services to be provided by the firm
  • Familiarity with visa processing and UAE residence visas in general
