Role overview
Provides operational and administrative support to Cleveland Clinic Abu Dhabi's Marketing & Communications function.
Supports delivery of marketing activity on budget, on time, and in line with organizational policies and applicable UAE requirements.
Coordinates with internal teams and external agencies, vendors, and suppliers on budgets, procurement, approvals, reporting, and delivery.
Budget and procurement
- Maintains budget records for commitments, purchase orders, accruals, and actual spend; prepares monthly budget-versus-actual and forecast reports and flags variances.
- Supports annual budget planning, Finance reviews, and month-end close.
- Coordinates requisitions, RFQ and tender documents, scopes, vendor selection, purchase orders, vendor onboarding, and renewals.
- Tracks receipts and invoices through payment and resolves discrepancies with vendors, Procurement, and Finance.
Reporting and approvals
- Compiles monthly and quarterly reports and dashboards on campaigns, digital, social media, website, media, and events.
- Analyzes budget utilization, cost per result, and return on marketing investment; maintains KPI trackers and prepares leadership presentation materials.
- Routes marketing materials, campaigns, and spend through brand, clinical, legal/compliance, leadership, and applicable regulatory advertising reviews.
- Maintains approval logs and audit trails and coordinates team meetings, agendas, action logs, and follow-up.
Education and experience
- Requires a bachelor's degree in Business Administration, Marketing, Finance, or a related field.
- Requires at least 3 years of experience as part of a marketing or marketing and communications team and at least 1 year of work experience in the UAE.
- Requires demonstrated budget, purchase request, purchase order, and invoice tracking experience, including work with procurement and finance teams.
- Requires experience preparing marketing performance reports and managing approval workflows.
- Training in budgeting, procurement, or data analysis is desirable; healthcare or other regulated-sector experience is highly desirable.
Additional duties and accountabilities
Maintains marketing contracts, approvals, briefs, and reports in line with recordkeeping requirements and supports onboarding for team members, contractors, and agencies.
Role-level accountabilities include compliance, coordination with internal and external partners, service-level agreement monitoring, budget contribution, reporting, recordkeeping, effective IT use, analysis, negotiation, and conflict management.
Additional duties and reporting relationships may vary with organizational needs.
Performance measures
Budget measures include reconciliation with Finance, timely budget-versus-actual and forecast reporting, and flagging variances before commitments.
Procurement measures include requisition, purchase order, and invoice cycle times, approvals tracked to sign-off, and timely vendor payment.
Reporting measures include on-schedule monthly marketing performance reporting and an 85% stakeholder satisfaction target.
