Children’s Care, Education & Activities Coordinator (Full-Time)
About This Role
We are seeking a dedicated, professional individual to serve as the primary point of contact and coordinator for all matters concerning the children. This role ensures the children’s educational progress, health, extracurricular development, social activities, and daily well-being are managed proactively, efficiently, and in alignment with the family’s values and expectations. The role operates as an extension of the family’s parenting team, providing structured support during core daytime hours.
Responsibilities
The Service Provider shall be responsible for the complete end-to-end management and coordination of all child-related matters for [4 children, ages 14, 8, 7 and 5]. Services include, but are not limited to, the following categories:
A. Educational Oversight & School Coordination
Monitor daily/weekly school progress through direct communication with teachers, principals, and school administration.
Serve as the primary point of contact (POC) with all teachers, school staff, and academic institutions on behalf of the family.
Attend parent-teacher meetings, school events, and conferences as required (or accompany parents when requested).
Identify academic challenges early and provide one-on-one homework assistance, tutoring support, or coordinate external tutors/specialists.
Prepare, organize, and maintain all study materials, assignment trackers, exam schedules, and school-related documentation.
Ensure timely submission of school forms, permissions, fees, and reports.
B. Health & Medical Coordination
Schedule, coordinate, and accompany children to all medical, dental, vaccination, or therapy appointments.
Maintain up-to-date medical records, vaccination history, and allergy information.
Liaise with doctors, hospitals, clinics, and insurance providers as the family’s representative.
Administer prescribed medications or follow-up treatments at home when required.
Monitor overall physical and emotional well-being and flag any concerns immediately to the parents.
C. Extracurricular Activities & Social Development
Research, select, register, and coordinate all after-school activities, sports, arts, music, language classes, or enrichment programs.
Arrange and supervise transportation to and from all activities.
Organize and host playdates, birthday parties, and social gatherings (including venue booking, invitations, and coordination with other families).
Take children to the park, playgrounds, or outdoor recreational spaces on a regular basis (weather permitting) to promote physical activity and fresh air.
Plan and execute age-appropriate educational or fun outings aligned with family approval.
D. General Child-Related Administration & Daily Support
Maintain a centralized digital and physical calendar for all child-related schedules (school, medical, activities, playdates).
Prepare daily/weekly reports to parents on school progress, activities, health updates, and any issues.
Ensure all child-related supplies (uniforms, books, sports gear, art materials, etc.) are purchased, organized, and replenished.
Handle any emergency or ad-hoc child-related matters during working hours.
Perform light child-related household tasks only when directly connected to the above duties (e.g., organizing school bags, preparing healthy snacks for activities).
Working Hours & Location
Standard Hours: Monday to Friday, 8:00 AM to 5:00 PM (9 hours per day, inclusive of a 1-hour unpaid lunch break).
