The Role

This is not a traditional EA role.

As EA / Chief of Staff to Calvin Coyles, you will be the operational nerve centre of a high-growth, globally distributed business.

You'll act as an extension of the CEO's mind - anticipating needs, removing friction, holding the threads, and ensuring the right things happen at the right time across a complex organisation.

You'll be across everything: strategic projects, investor and partner relationships, brand initiatives, product launches, team coordination, content, travel, and whatever else the day demands.

Strategic Support & Operations

  • Manage the CEO's time, calendar, inbox, and priorities with ruthless clarity and discretion
  • Prepare briefing documents, research, and materials for key meetings, calls, and decisions
  • Own follow-up and accountability across the leadership team — tracking commitments, deadlines, and outcomes
  • Identify inefficiencies and proactively build systems, processes, and SOPs to solve them
  • Act as the CEO's proxy in internal meetings, representing direction and driving decisions forward

Projects & Initiatives

  • Manage and coordinate cross-functional projects from strategy to execution (product, brand, tech, marketing)
  • Liaise with external partners, agencies, and stakeholders (including branding, legal, and technology partners)
  • Support key strategic initiatives including platform builds, product launches, brand development, and market expansion

Communications & Relationship Management

  • Draft and manage communications on behalf of the CEO - internal, external, media, and partner-facing
  • Manage key relationships with investors, collaborators, speakers, and high-value clients
  • Maintain confidentiality and professionalism across all interactions, at every level

Travel & Logistics

  • Plan and coordinate international travel, events, speaking engagements, and executive retreats
  • Manage logistics for team offsites, client-facing events, and brand activations globally

Experience & Skills

  • 3–6+ years in an EA, CoS, operations, or high-performance support role (ideally within a fast-scaling startup, coaching, media, or personal brand environment)
  • Proven ability to manage competing priorities across a complex, distributed organisation
  • Strong project management skills — you've run initiatives end-to-end with minimal supervision
  • Proficiency with modern tools: Google Workspace, Slack, Notion, CRM platforms, AI tools
  • Experience with or strong interest in the personal development, coaching, or wellness industry is highly regarded
  • International exposure or experience working across time zones is a plus
