We are looking for a highly organized and proactive Operations Assistant to support the day-to-day operations of our growing business.
Job Summary
The Cake Shop Operations Assistant plays a key role in ensuring smooth daily operations across order management, customer coordination, production planning, inventory control, and logistics.
This position is ideal for someone who thrives in a fast-paced environment, has excellent attention to detail, and enjoys working behind the scenes to ensure exceptional customer experiences.
Key Responsibilities
- Manage and monitor daily cake and dessert orders.
- Manage WhatsApp orders
- Coordinate with the kitchen, decorators, and delivery team to ensure timely order fulfillment.
- Prepare production schedules and assist in workload planning.
- Maintain accurate records of orders, invoices, and customer information.
- Monitor inventory levels and assist with stock ordering and supplier coordination.
- Ensure all orders are correctly entered and tracked through internal systems.
- Support quality control by verifying order details before production and dispatch.
- Assist with operational reporting and administrative tasks.
- Handle customer inquiries and provide updates regarding order status when required.
- Help identify process improvements to increase efficiency and accuracy.
- Ensure compliance with food safety and company operating procedures.
Requirements
- Previous experience in administration, operations, hospitality, retail, bakery, or food & beverage industry preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills in English.
- Proficient in Microsoft Office, Canva and spreadsheets.
- Ability to work under pressure and manage multiple deadlines.
- Strong attention to detail and problem-solving skills.
- Positive attitude and willingness to learn.
- Experience with order management systems, Google Forms, Google Sheets, or inventory systems is an advantage.
