The Role
We are looking for a highly organised and commercially aware Business Coordinator to join the ETHOS team.
You will play a central part in ensuring our client engagements are delivered to a high standard, and that business-critical operational activity is well supported.
This role will suit someone who is equally comfortable managing the detail of delivery coordination as they are engaging with clients and prospects.
You will work closely with the Chief Operating Officer (COO) and Business Administration team, operating as a critical support function across both delivery and commercial activity.
Delivery Assurance
- **Portfolio Oversight –**
- Maintain visibility across all active ETHOS engagements, tracking progress against milestones and flagging risks or delays early
- **Internal Coordination –**
- Coordinate contractor scheduling, resourcing, and task allocation to ensure client commitments are met on time.
- Including onboarding contractors to delivery engagements.
- **Engagement Artefacts**
- – ensuring proposals, statements of works (SoWs) and other relevant materials are produced and correctly stored in the ETHOS repository.
- **Project Lifecycle**
- – coordinating initial delivery set-up (‘kick-off’) and project closure at end of engagement
- **Status Reporting –**
- Prepare and circulate project status updates to support the COO and senior leadership in client-facing reporting.
- Working alongside the Business Administration team on statements of accounts, invoicing, etc.
- **Issue Resolution –**
- Act as the central coordination point for concurrent workstreams, identifying and helping to resolve delivery bottlenecks
Client Account Management
- **Relationship Support –**
- Assist in managing existing client relationships, ensuring ETHOS maintains a professional and responsive presence throughout each engagement
- **Client Materials –**
- Support the preparation of proposals, progress reports, renewal documentation, and other client-facing outputs
- **Commercial and Contract**
- – preparing and sending ETHOS contracts and associated statements of work for signature.
- Working with Business Administration team on new client due diligence and account set-up
- **Account Tracking –**
- Monitor key account milestones, renewal dates, and expansion opportunities, proactively surfacing these to the COO
- **Client Experience –**
- Contribute to a consistently high standard of client experience across all touchpoints including ensuring the Client Satisfaction Survey (CSS) is completed
- Customer Relationship Management (CRM) Coordination and Assurance (CMAP)
- **Data Quality –**
- Working alongside the Business Administration team ensuring data quality, integrity and that the CRM/CMAP accurately reflects pipeline status, client activity, and engagement history.
- This includes new client set-up and existing
- **ETHOS Team Accountability**
- – holding the wider ETHOS team to account to their pipeline and live projects, ensuring all records are up to date
- **Pipeline Reporting –**
- Generate regular pipeline and activity reports from CMAP to support business planning and strategic decision-making.
- This will be harvested from the automated ETHOS Business Dashboard.
Targeted Sales Outreach
- **Prospect Outreach –**
- Execute targeted outreach to prospective clients across ETHOS’s key markets, including NHS organisations, MedTech vendors, and digital health system integrators
- **Market Awareness –**
- Stay current on digital health sector developments, procurement activity, and regulatory changes to identify timely outreach opportunities

Essential
- **CRM discipline –**
- You take pride in data quality and understand the commercial value of a well-maintained pipeline
- **Self-starter –**
- You operate with initiative, manage your own workload effectively, with minimal supervision
- **Digital Literacy**
- – competent operating across the MS Office suite, as well as wider web-based tooling
- **Highly organised –**
- You manage multiple priorities simultaneously and keep detail under control without losing sight of the bigger picture
- **Collaborative –**
- You work well across the organisation and with our clients, and can build trusted working relationships across a small, expert team
- **Strong communicator –**
- You write and speak clearly, adjusting your style confidently across internal coordination and external client engagement
Desirable
- Experience in a consultancy, professional services, or regulated sector environment
- Familiarity with digital health, NHS procurement, or MedTech markets
- Previous use of CRM platforms in a sales or account coordination capacity
- Experience supporting proposal writing or business development activity
- **Commercial awareness –**
- an understanding of how to identify opportunities, engage prospects credibly, and support a sales process from first contact to close
