Job Summary

​The Service Advisor is responsible for greeting customers, inspiring confidence, and guiding them through the vehicle repair or maintenance process.

This role requires a balance of high-level customer service, operational organization, and a solid understanding of automotive systems to maximize sales, customer satisfaction, and workshop efficiency.

Key Responsibilities

​Customer Intake and Communication

The Service Advisor is responsible for greeting customers warmly, actively listening to their vehicle symptoms, and documenting complaints accurately on the repair order.

They must keep customers proactively informed regarding diagnostic results, cost estimates, and completion timelines, serving as the primary point of contact throughout the service process.

​Estimation and Service Upselling

Preparing accurate, itemized quotes for parts and labor is a critical part of the role.

The advisor presents recommended maintenance and required repairs to customers honestly, explaining the safety or performance benefits of the work.

They must secure explicit customer approval for all costs before technicians begin repairs.

​Workshop Coordination and Administration

Advisors convey detailed customer complaints and intermittent issues clearly to the workshop team and monitor progress to ensure vehicles are completed by the promised time.

They maintain meticulously organized records of customer interactions, final repair histories, and warranties.

Upon vehicle delivery, they finalize invoices, process payments, and walk the customer through the breakdown of the bill.

​Job Requirements & Qualifications

​Candidates for this position typically need two to five years of experience as a Service Advisor, Service Writer, or in a fast-paced customer-facing role within an automotive dealership or workshop.

They must possess a strong foundational knowledge of vehicle anatomy, maintenance schedules, and basic diagnostic processes to accurately understand a technician's findings.

Proficiency with Dealer Management Systems (DMS), workshop scheduling software, and modern communication tools is essential.

Additionally, the role demands exceptional active listening, conflict resolution, and time management skills, along with a valid driver's license.

​Key Performance Indicators (KPIs)

​A successful Service Advisor is typically measured on customer satisfaction and net promoter scores to ensure elite service delivery.

They are also evaluated on production metrics, such as the average labor hours sold per repair order and the effective labor rate.

Finally, performance is heavily tied to the "Fixed Right First Time" rate, ensuring that flawless communication between the customer and the workshop minimizes vehicle comebacks.
