Overview

Key Responsibilities

• Sales Order Processing & Customer Transaction Management
• Create and process Sales Orders (SOs) in ERP based on approved customer orders.
• Generate order confirmations, delivery documentation, and customer invoices accurately and within agreed timelines.
• Coordinate with sales and logistics teams to confirm stock availability, allocation, and dispatch readiness.
• Ensure timely system updates throughout the full sales order lifecycle.
• Support intercompany sales order entries and related invoicing transactions.

2. POS & Retail Transaction Monitoring

• Monitor daily POS sales uploads and ensure correct synchronization with ERP systems.
• Verify retail sales postings, store transfers, returns, discounts, and adjustments.
• Reconcile POS transactional discrepancies and coordinate with store operations where required.
• Support maintenance of retail sales data accuracy for reporting and finance closure.

3. Purchase Order & Goods Receipt Administration

• Assist in creation and maintenance of Purchase Orders (POs) in ERP.
• Process Goods Receipt Notes (GRNs) against supplier deliveries and warehouse confirmations.
• Validate supplier documentation against ERP transactions and escalate discrepancies.
• Coordinate with procurement and warehouse teams for transaction closure.

4. Inventory & Stock Movement Posting

• Record and update inventory movements including stock receipts, transfers, returns, adjustments, and intercompany movements.
• Ensure all physical stock transactions are accurately reflected in ERP and related systems.
• Support reconciliation between warehouse records, POS systems, and ERP inventory balances.

5. Data Integrity & Master Data Maintenance

• Maintain accurate customer, supplier, item, and pricing master data in ERP/POS systems.
• Ensure all transactional entries are complete, properly documented, and compliant with internal SOPs.
• Identify data inconsistencies, missing postings, and system errors for timely correction.

6. Cross-Functional Coordination & Reporting Support

• Liaise closely with Finance, Sales, Retail, Logistics, and Supply Chain teams to resolve transaction-related issues.
• Support month-end transactional closures and reconciliations.
• Assist in preparation of data reports, transaction logs, and audit support schedules as required.

Qualifications & Experience

• Bachelor’s Degree or Diploma in Commerce, Accounting, Business Administration, IT, or related field.
• 2–4 years of relevant experience in EDP, ERP operations, sales administration, POS operations, or transactional data processing.
• Strong hands-on experience with Sales Order processing, invoicing, inventory postings, and POS systems.
• Prior exposure to retail, fashion, distribution, or FMCG environments is preferred.
• Experience working with ERP systems such as SAP, Oracle, NetSuite, Microsoft Dynamics, or similar.
• Strong Excel skills and comfort working with large volumes of transactional data.
