About the Job
We are seeking a detail-oriented and proactive Art Program Coordinator to support the planning, coordination, and delivery of contemporary art programs, exhibitions, and related public activities.
The successful candidate will work closely with artists, curators, producers, communications teams, and external partners to ensure smooth project execution, strong stakeholder coordination, and high-quality audience experiences.
This is a hands-on role that combines administration, scheduling, artist liaison, and program support in a fast-paced creative environment.
Responsibilities
Coordinate the day-to-day planning and delivery of art programs, exhibitions, and related events.
Liaise with artists, curators, vendors, and institutional partners to manage timelines, logistics, and communications.
Support the development of program materials, exhibition texts, press content, and audience-facing documentation.
Track project schedules, deadlines, production requirements, and coordination checklists.
Manage administrative tasks including meeting notes, correspondence, vendor follow-up, and project records.
Assist with budgeting, supplier coordination, purchase tracking, and basic production planning.
Organize public programs such as talks, panel discussions, workshops, artist visits, and educational activities.
Coordinate installation, deinstallation, shipping, and venue logistics in collaboration with production teams.
Maintain documentation, archive records, photos, and project files for each program or exhibition.
Monitor project progress, identify issues early, and support solutions to keep delivery on track.
Qualifications
Minimum BA/MA in Arts Management, Curatorial Studies, Fine Arts, Cultural Management, or a related field; equivalent professional experience preferred.
At least 2–4 years of experience in art program coordination, exhibition support, cultural administration, or a related role.
Strong organizational and communication skills, with the ability to manage multiple priorities and deadlines.
Experience
working with artists, cultural institutions, or creative teams in a collaborative environment.
Project coordination experience: scheduling, logistics, vendor follow-up, documentation, and basic budgeting.
Excellent interpersonal skills and the ability to communicate clearly and professionally with diverse stakeholders.
Experience
supporting public programs, exhibitions, or artist-centered projects.
Commitment to accessible presentation, attention to detail, and professional delivery.
Portfolio or track record of art programs, exhibitions, or coordination projects (links or PDF).
Fluency in English; additional languages an asset.
