We are seeking a professional, organized, and patient-focused Administrative Receptionist to join our team.
In this role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming and professional experience while supporting the smooth daily operations of the center.
The ideal candidate is highly organized, customer-service oriented, and able to manage front desk responsibilities efficiently in a fast-paced healthcare environment.
This role requires excellent communication skills, attention to detail, emotional intelligence, and the ability to handle sensitive information with professionalism and confidentiality.
Key Responsibilities
- Welcome and assist patients and visitors in a professional and compassionate manner.
- Manage patient registration, appointment coordination, and patient journey processes in an efficient and professional manner.
- Handle incoming calls, WhatsApp inquiries, emails, and appointment scheduling professionally.
- Coordinate and confirm appointments while ensuring accurate patient information is maintained in the system.
- Provide patients with accurate information regarding services, clinicians, assessments, and clinic procedures.
- Maintain organized reception and waiting areas to ensure a positive patient experience.
- Process administrative documentation, patient records, forms, and reports accurately.
- Coordinate with clinical and administrative departments to support smooth patient flow and daily operations.
- Handle patient concerns or inquiries professionally and escalate matters when required.
- Ensure strict confidentiality and compliance with healthcare privacy and administrative policies.
- Support additional administrative and operational duties as assigned.
Qualifications & Experience
- Previous experience in a receptionist, front desk, customer service, or administrative role, preferably within a healthcare or medical setting.
- Strong communication and interpersonal skills with excellent spoken and written English (additional languages are an advantage).
- Professional demeanor and strong customer service orientation.
- Excellent organizational skills and ability to multitask in a fast-paced environment.
- Proficiency in Microsoft Office, scheduling systems, and administrative software.
- Ability to manage sensitive situations with empathy, professionalism, and discretion.
- Strong attention to detail and commitment to accuracy and confidentiality.
- Familiarity with healthcare administration and medical terminology is an advantage.
