Role Description
The Administrative Manager is responsible for coordinating the operational and logistical aspects of Friends of Figma Dubai’s community activities.
This part-time hybrid role is based in Dubai, with a mix of in-person event support and remote administrative work.
Day-to-day tasks include scheduling and organizing meet-ups and workshops, managing event registrations and communication, maintaining member databases and mailing lists, and supporting collaborations with speakers and partners.
The Administrative Manager will help manage community communication channels, prepare meeting agendas and summaries, and ensure smooth coordination between organizers, volunteers, and participants.
The role also involves basic budgeting and expense tracking for events, supporting marketing activities, and recommending process improvements to keep operations efficient and inclusive.
Qualifications
- Strong organizational and administrative skills, including scheduling, record-keeping, and coordination of events or meetings.
- Experience with community management or event coordination, preferably within creative, design, or tech-focused communities.
- Proficiency with productivity and collaboration tools (e.g., spreadsheets, shared documents, messaging platforms); familiarity with Figma and design tools is an advantage.
- Clear written and verbal communication skills in English; ability to communicate professionally with diverse stakeholders.
- Comfort working in a hybrid environment, managing responsibilities both on-site in Dubai and remotely.
- Basic understanding of budgeting, expense tracking, and vendor coordination for small to medium events.
- Demonstrated ability to work independently, prioritize tasks, and meet deadlines while supporting multiple initiatives.
- Previous experience in administration, operations, or community support; a background in design or interest in the design field is a plus.
