Position Summary
A busy solo-attorney criminal defense practice is seeking a professional, organized, and detail-oriented Administrative Assistant to support the daily operations of the office.
This position serves as the first point of contact for clients and plays a vital role in ensuring efficient office management, client communication, and administrative support.
The ideal candidate demonstrates excellent customer service skills, discretion when handling confidential information, and the ability to manage multiple priorities in a legal environment.
Client Relations
- Answer and direct incoming phone calls professionally and courteously.
- Greet clients and visitors.
- Schedule and confirm client appointments and consultations.
- Maintain regular communication with clients regarding appointments, court dates, and document requests.
- Assist clients with intake forms and gathering necessary information.
Administrative Support
- Prepare, proofread, and format correspondence.
- Maintain physical and electronic client files.
- Scan, copy, file, and organize documents.
- Manage attorney calendar and scheduling.
- Monitor and distribute incoming mail and email.
Case Management Support
- Open and close client files.
- Track case status and important deadlines.
- Request and organize discovery materials, records, and other case-related documents.
- Assist with preparation of materials for court hearings and client meetings.
- Maintain accurate case management records, tasks, and deadlines.
Billing and Office Operations
- Process client payments and maintain payment records.
- Prepare invoices and assist with accounts receivable tracking.
- Order office supplies and maintain inventory.
- Assist with general office organization and administrative projects.
Required
- High school diploma or equivalent.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel), email, and general office technology.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidentiality and exercise discretion.
- Strong customer service and interpersonal skills.
- Ability to prioritize tasks and work independently.
Preferred
- Previous experience in a professional office environment.

Compensation and Benefits
- $20 per hour or more depending on experience.
