Role Description

This is a full-time, on-site Administrative Assistant role based in Jeddah.

The Administrative Assistant will support daily office operations by managing calendars, organizing files, preparing documents, and maintaining records.

The role includes handling phone calls, greeting visitors, responding to inquiries, and directing communications to the appropriate team members.

The Administrative Assistant will assist with scheduling meetings, coordinating internal communications, and supporting executives with administrative tasks as needed.

The position also involves preparing basic reports, arranging logistics for meetings or events, and collaborating with other departments to ensure smooth office workflows.

Qualifications

  • Strong Administrative Assistance and Clerical Skills to manage records, schedules, documentation, and general office tasks efficiently.
  • Professional Phone Etiquette and Communication skills to handle calls, greet visitors, and interact clearly and respectfully with internal and external stakeholders.
  • Experience or familiarity with Executive Administrative Assistance to support senior leaders with calendar management, meeting coordination, and follow-up activities.
  • Proficiency in office software (e.g., MS Office or similar) and comfort with basic digital tools and data entry.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma required; a diploma or degree in Business Administration or a related field is an advantage.
  • Previous experience in an administrative or office support role, preferably in retail or a customer-focused environment, is a plus.
  • Reliability, punctuality, and a collaborative mindset to work effectively as part of an on-site team in Jeddah.
