Position Overview

Shift Eco is looking for a proactive, organised, and versatile **Admin Assistant** to support the day-to-day running of the business across administration, social media content, research, and sales coordination.

This is a hands-on role for someone who is happy to do a bit of everything — from creating simple social media content and researching potential clients, to managing admin tasks, updating trackers, coordinating with vendors, and supporting the sales team.

The ideal candidate is organised, resourceful, detail-oriented, and comfortable working in a fast-paced small business environment where priorities can shift and everyone contributes wherever needed.

Administrative Support

Manage daily administrative tasks including scheduling, email follow-ups, document management, and maintaining internal records.

Support with quotations, proposals, presentations, product lists, and other business documents.

Coordinate with vendors, suppliers, clients, and internal team members as required.

Assist with order tracking, inventory coordination, deliveries, and logistics follow-ups.

Support with meeting preparation, notes, reminders, and follow-up actions.

Help ensure that daily operations run smoothly and efficiently.

Social Media & Content Support

Create engaging social media content for platforms such as LinkedIn and Instagram.

Assist with drafting captions, graphics, product posts, campaign content, and sustainability-related posts.

Schedule posts and help maintain a consistent content calendar.

Research content ideas, trends, relevant sustainability topics, and competitor activity.

Support with basic photo/video content creation, product photography, reels, and behind-the-scenes content when needed.

Track basic social media engagement and suggest ideas to improve content.

Research & Sales Support

Research potential clients, industries, companies, contacts, and business opportunities.

Support the sales team by preparing lead lists, updating CRM/sales trackers, and following up on assigned tasks.

Assist in preparing client proposals, product recommendations, and presentation materials.

Research sustainable products, vendors, market trends, and competitor offerings.

Help with outreach preparation, including email drafts, LinkedIn research, and company background research.

Support the team in identifying new opportunities for corporate gifting, office supplies, employee engagement, and sustainability-related services.

General Team Support

Be willing to take on a wide range of tasks as needed to support the business.

Assist with internal and external events, workshops, activations, and client projects.

Help with ad hoc tasks, urgent requests, and operational support.

Work closely with the founders and team to support the company’s growth.

Skills & Experience Required

Strong organisational and multitasking skills.

Excellent written and spoken English.

Good attention to detail and ability to follow instructions clearly.

Ability to create simple, clean social media content.

Good research skills and ability to find relevant information quickly.

Comfortable working with spreadsheets, trackers, and databases.

Professional communication skills for dealing with clients, vendors, and team members.

Proactive attitude and willingness to help with different types of tasks.

Ability to work independently and manage deadlines.

Interest in sustainability, eco-friendly products, and responsible business is a plus.
