We are seeking a dedicated Administrative Assistant to join our team in Dubai.
In this role, you will play a crucial part in supporting our real estate professionals and ensuring the efficient operation of our real estate office.
Key Responsibilities
**Administrative Support:** Provide administrative assistance to real estate agents and brokers by handling various tasks such as scheduling appointments, managing emails, and maintaining office files.
**Client Communication:** Maintain professional and prompt communication with clients, both in person and over the phone, to assist with inquiries, appointment scheduling, and updates on property listings.
**Document Management:** Prepare, proofread, and organize real estate documents, rental/sales contracts, and agreements to ensure accuracy and compliance with regulations.
**Database Management:** Update databases, ensuring that property listings and client information are current and accurate.
**Marketing Assistance:** Assist in the creation and distribution of marketing materials, including property listings, brochures, and online listings.
**Property Research:** Conduct research on available properties, market trends, and competitors to provide valuable insights to the real estate team.
**Office Management:** Maintain the cleanliness and organization of the office space, order office supplies, and coordinate office maintenance as needed.
Requirements
**Excellent Communication Skills:** Strong verbal and written communication skills in English are essential for effective client interactions and document preparation.
**Secretarial Work Experience:** Prior experience in a secretarial or administrative role, preferably in a real estate or related industry, is required.
**Organizational Skills:** Must be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.
**Tech-Savvy:** Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with real estate software and CRM systems is a plus.
**Professionalism:** Maintain a professional appearance and demeanor while representing the company in a positive and courteous manner.
**Adaptability:** Ability to adapt to changing priorities and work independently with minimal supervision.
**UAE Resident:** Candidates should have legal authorization to work in Dubai, United Arab Emirates.
**Real Estate Knowledge:** While not mandatory, a basic understanding of real estate processes and terminology would be an advantage.
