Verdant Landscapes is a British-owned landscaping and swimming pool construction company based in Dubai.

We specialise in the design and construction of luxury outdoor spaces, including swimming pools, landscaping, pergolas, outdoor kitchens, sports courts, irrigation systems, and hardscape works.

Role Description

We are seeking a highly organised and proactive Administrative Assistant to support the day-to-day operations of our Dubai office.

The successful candidate will play a key role in ensuring the smooth running of administrative processes, supporting project teams, coordinating documentation, and assisting management with general office operations.

This is a full-time, office-based position requiring excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities

  • Provide administrative support to management, project managers, and site teams.
  • Prepare quotations, invoices, purchase orders, and project documentation.
  • Maintain and organise company records, contracts, and project files.
  • Coordinate with suppliers, subcontractors, and clients regarding documentation and schedules.
  • Manage incoming calls, emails, and correspondence.
  • Schedule meetings, appointments, and site visits.
  • Assist with employee documentation, visa applications, and HR administration.
  • Track project paperwork, approvals, permits, and authority submissions.
  • Maintain office supplies and coordinate with service providers.
  • Prepare reports, spreadsheets, and presentations as required.
  • Support the accounts team with basic administrative and document control tasks.

& Requirements

  • Previous experience in an administrative, office assistant, or coordinator role.
  • Strong organisational and time management skills.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with document control and project administration is preferred.
  • Familiarity with the construction, landscaping, or contracting industry is an advantage.
  • Ability to work independently and manage multiple priorities.
  • Professional appearance and strong customer service skills.
  • Knowledge of UAE administrative procedures and documentation requirements is beneficial.
