Overview we are seeking a highly organized and detail‑oriented Administrative Assistant to support daily office operations and ensure efficient workflow across departments.
The ideal candidate will demonstrate professionalism, strong communication skills, and the ability to manage multiple tasks in a fast‑paced environment.
Qualifications
· Bachelor’s degree or equivalent experience
· Minimum of 1–2 years’ administrative or office support experience within a contracting or construction company
· Proficiency in MS Office (Word, Excel, PowerPoint)
· Strong organizational and time‑management skills
· Excellent communication and coordination skills
· Familiarity with contracting or construction company project documentation
· Knowledge of procurement documentation (LPOs, quotations, supplier coordination)
· Ability to multitask and manage multiple project files simultaneously
· Immediate joiners are highly preferred
Key Responsibilities
· Manage daily administrative tasks, including correspondence, filing, document preparation, LPO preparation and internal memos preparations.
· Coordinate meetings, schedules, and travel arrangements.
· Maintain accurate records, databases, and project documentation.
· Support procurement, vendor coordination, and internal communication.
· Ensure compliance with company policies and maintain confidentiality.
· Manage and control all incoming and outgoing project documents (technical submittals, drawings, correspondences, contracts, LPOs, etc.).
· Ensure proper document numbering, formatting, and filing according to company and project standards.
· Coordinate with project teams and suppliers to ensure timely submission and receipt of documents.
· Ensure confidentiality and secure storage of sensitive documents
· Support project managers and engineers with documentation requirements.
· Perform regular backups and archiving of project files and emails.
· Assist with administrative tasks as needed (emails, reports, meeting minutes, etc.)
· Monitor, organize, and respond to incoming emails; prepare and send outgoing emails as required.
· Receive incoming calls, provide initial assistance, and transfer calls to the relevant department or staff member.
