Accounts Receivable Assistant

Role purpose

Collections and accounts receivable

• Follow up on payment plans and overdue balances, escalate collection risks, maintain customer records, and share weekly statements of account.
• Allocate customer payments, monitor outstanding balances, and prepare daily AR aging reports.
• Support month-end close, reconciliation, reporting, balance confirmations, and audit requests.
• Resolve discrepancies involving invoices, payments, credit notes, deductions, claims, returns, and customer balances.

Letters of credit

• Maintain the LC register and coordinate LC advice and registration with customers, sales teams, and banks.
• Verify LCs against agreed clauses, coordinate amendments, and submit collection documents on time.
• Prepare cover letters and bills of exchange; follow up on document acceptance, payment, and funds realization.
• Track maturities, discrepancies, overdue payments, collections, and supporting documentation; reconcile LC receipts to customer accounts and bank statements.

Online business and controls

• Reconcile receipts and settlements from direct-to-consumer sales and payment channels.
• Investigate unmatched, missing, delayed, or incorrectly allocated transactions; support refunds, cancellations, returns, and chargebacks.
• Prepare AR aging, collection, overdue, and reconciliation reports and highlight risks and long-outstanding balances.
• Maintain transaction support documents, support audits, and follow financial controls, approval procedures, accounting policies, and confidentiality requirements.

Qualifications and experience

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• Approximately 1–3 years of experience in accounts receivable, accounting, credit control, collections, or a similar finance role.
• Experience supporting online businesses is preferred; UAE experience in multichannel retail, distribution, consumer electronics, or a fast-moving business is an advantage.

Technical skills and competencies

• Good knowledge of accounts receivable and basic accounting principles; strong Excel skills including PivotTables, lookups, reconciliations, and data checking.
• SAP, Microsoft Dynamics 365, or a similar ERP/accounting system is preferred.
• Understanding of letters of credit, aging analysis, payment allocation, reconciliation, collections, credit notes, and deductions.
• Basic understanding of UAE VAT documentation and e-invoicing is an advantage.
• Working knowledge of Power BI and experience in Smartsheet for reporting, tracking, data management, or workflow automation.
• Good written and spoken English; strong communication, numerical accuracy, follow-up, organization, time management, and problem-solving.
