We are seeking a dedicated and detail-oriented
Academy Reservations Clerk
to join our team.
In this role, you will be responsible for managing and processing reservations for the academy, ensuring excellent customer service, and providing administrative support to the Academy team.
Key Responsibilities
- **Manage Reservation System:**
- Accurately process and manage reservations for academy services, courses, and events.
- **Customer Service:**
- Respond to customer inquiries, provide information on available services, courses, and schedules, and resolve any booking issues or concerns.
- **Booking Coordination:**
- Ensure reservations are logged correctly in the system, and that all booking details are confirmed with customers.
- **Communication:**
- Coordinate with academy staff to ensure all reservations are accommodated as per the customer’s preferences.
- **Documentation:**
- Maintain accurate records of bookings, cancellations, and customer requests.
- Ensure all documentation is properly stored.
- **Billing and Payments:**
- Assist with the collection of payment for reservations, and process refunds when applicable.
- **Support for Academy Operations:**
- Assist in scheduling and organizing events or courses, ensuring all reservations align with available resources.
- **Follow-up:**
- Send confirmation emails and reminders to customers regarding their reservations, including any relevant details or changes.
- **Customer Feedback:**
- Collect customer feedback regarding reservations and services provided, and report to the Academy Manager for continuous improvement.
Must-Haves for This Role
- **Experience:**
- Previous experience in reservations or administrative roles, ideally in a hospitality or academy environment.
- **Attention to Detail:**
- Ability to accurately process bookings and maintain proper records.
- **Strong Communication Skills:**
- Excellent verbal and written communication skills to interact with customers and team members.
- **Customer Service Focus:**
- A positive, customer-first attitude with the ability to handle inquiries, complaints, and requests professionally.
- **Proficiency with Reservation Software:**
Experience
- with reservation or booking systems is an advantage.
- **Time Management:**
- Ability to handle multiple reservations efficiently and meet deadlines.
- **Fluency in English**
- ; additional languages are a plus.
