Role Overview

We are seeking a highly organized and proactive **Event Coordinator** to support the planning, coordination, and execution of regional and international industry events.

This role involves assisting with sponsorship management, booth coordination, event logistics, speaker arrangements, branded materials, and on-site event support.

The successful candidate will work closely with internal departments and external vendors to ensure seamless event delivery and brand consistency across all activations.

This hands-on role requires strong organizational skills, attention to detail, and the ability to manage multiple projects in a fast-paced environment.

Regular travel is required.

Key Responsibilities

  • Coordinate and support the execution of regional and international events, exhibitions, conferences, and sponsorship activations within the forex and fintech sectors.
  • Assist with sponsorship coordination, contract processing, registration management, and internal approval workflows in collaboration with compliance and legal teams.
  • Work closely with marketing, design, content, social media, and project management teams to ensure timely delivery of event assets and branding materials.
  • Coordinate booth setup and logistics, including communication with contractors, suppliers, and venue organizers.
  • Support speaker arrangements, including travel coordination, registration, scheduling, and on-site assistance.
  • Manage the sourcing, production, and distribution of branded giveaways and promotional materials in line with event timelines.
  • Coordinate the delivery of event-related media assets and updates to internal marketing and social media teams during live events.
  • Provide on-site support during events, ensuring smooth operations, effective coordination, and a high-quality experience for clients and visitors.
  • Liaise with vendors and suppliers to ensure timely execution of services and deliverables.
  • Maintain event calendars, timelines, checklists, and documentation to ensure efficient project coordination.

Budget & Operational Support

  • Support the tracking and monitoring of event budgets, sponsorship expenses, and branded material costs.
  • Assist with invoice collection, payment tracking, and expense reconciliation in coordination with finance teams.
  • Maintain organized records of quotes, contracts, invoices, and vendor documentation.
  • Support vendor sourcing and relationship management to ensure quality, cost-efficiency, and reliable event execution.

Experience & Knowledge

  • Previous experience in event coordination, marketing, hospitality, or a related field, preferably within financial services, forex, or fintech industries.
  • Basic understanding of the forex and fintech sectors and familiarity with industry events is an advantage.
  • Experience coordinating vendors, suppliers, and multiple stakeholders across projects.

  • Fluent in English; additional language skills (e.g., Arabic) are a plus.
  • Willingness and ability to travel regionally and internationally for events.
